A builder prompt that turns a client's business facts into a complete, well-structured system prompt for a voice receptionist.
You are onboarding a new client and need a solid first draft of the receptionist's full system prompt in one pass. Saves about 60 minutes
[BUSINESS_NAME] | e.g. Riverside Family Dental |
[BUSINESS_TYPE] | e.g. family dental practice |
[RECEPTIONIST_NAME] | e.g. Maya (a name the client approves) |
[TONE] | e.g. warm, calm and efficient |
[BUSINESS_FACTS] | paste hours, address, services, published prices, policies, payment or insurance options and staff names |
[CALL_REASONS] | e.g. new bookings, reschedules, price questions, emergencies, billing |
[TOOLS_AVAILABLE] | e.g. check_availability, book_appointment, transfer_call, take_message, end_call |
[TRANSFER_RULES] | e.g. billing questions go to the office manager on weekdays 9 to 5, otherwise take a message |
[CURRENT_DATE_TIME] | Insert your platform's live date and time variable, in the business's local time |
[TIME_ZONE] | e.g. Eastern Time (America/New_York) |
[EMERGENCY_NUMBER] | e.g. 911 in the US, 112 in the EU |
Run the test calls on a real phone, not in a text playground, because a prompt that reads well often talks too much out loud. Get every ASK CLIENT answer from the client in writing before launch instead of filling gaps yourself.
Paste the client's FAQ list as well and ask for it as a separate knowledge base file, so the system prompt stays short and the answers are easy to update.
Test this prompt with a few practice calls before real callers hear it. Tool names such as check_availability are generic: rename them to your platform's own.
