A builder prompt that turns pasted website text into structured receptionist facts, likely call reasons and a list of open questions for the client.
You are starting a new client build and the website is your main source of facts so far. Saves about 45 minutes
The prompt
Role: You are an onboarding specialist who prepares AI phone receptionists for local businesses. You care more about accuracy than completeness.
Task: Turn the material below into a receptionist brief for [BUSINESS_NAME], a [BUSINESS_TYPE].
Context: Below is the website text, page by page, then any extra sources.
WEBSITE
[WEBSITE_TEXT]
EXTRA SOURCES
[EXTRA_SOURCES]
Constraints:
- Use only what the text states. Marketing claims such as "best in town" or "fast service" are not facts, so leave them out.
- Copy prices exactly, with words like "from" or "starting at", and name the page each price came from.
- Flag anything that looks out of date, such as old years, past promotions or seasonal hours.
- Flag every conflict between pages or sources, quoting both versions.
- Write facts as short, plain sentences a receptionist could say aloud.
- Never fill a gap with what is typical for this kind of business. Gaps become questions.
Output format:
1) Facts, grouped under Location and service area, Hours, Services, Services not offered, Prices, Payment and insurance, Policies, Staff, and Contact routes. Write "not found" under any empty group.
2) The ten most likely reasons people call this business, each with the fact the receptionist needs to handle it, or "missing".
3) Conflicts and possibly outdated items.
4) Questions for the client in two groups. Must answer before launch: emergencies, transfer numbers and hours, booking rules, which prices may be quoted, and what to do after hours. Nice to have: everything else.
5) Topics the receptionist should never answer for this business, with a suggested safe reply for each.
Fill in these brackets
[BUSINESS_NAME]
e.g. Coastal Roofing
[BUSINESS_TYPE]
e.g. residential roofing contractor
[WEBSITE_TEXT]
paste the text of the home, services, pricing, about, contact and FAQ pages, with each page name above its text
[EXTRA_SOURCES]
e.g. Google Business Profile text or a price list, or write none
Pro tip
Send the must-answer questions to the client as a short numbered list and ask for written replies. Their answers become the facts block, and the email records what they approved before launch.
Variation
Paste a few real call recordings or transcripts as an extra source and ask the model to mark which call reasons the website does not cover at all.
Test this prompt with a few practice calls before real callers hear it. Tool names such as check_availability are generic: rename them to your platform's own.
