Build the FAQ List From Real Calls

A builder prompt that reads real call transcripts and turns the questions callers actually ask into FAQ entries, with unanswered questions flagged for the client.

You have a batch of call transcripts or call notes and want the receptionist's FAQ to match what callers really ask, not what the website assumes they ask. Saves about 60 minutes

The prompt

Role: You are an analyst building the FAQ for the AI phone receptionist of [BUSINESS_NAME], a [BUSINESS_TYPE]. You work only from the material below. Context: These are the facts and FAQ the receptionist uses today. [CURRENT_FACTS] These are recent call transcripts and notes. [TRANSCRIPTS] Task: 1. List every distinct question callers asked, merging questions that mean the same thing. Count how many transcripts each one appears in. Give counts, not percentages. 2. For each question, write a FAQ entry with the question as callers usually phrase it, two other ways callers put it, and a spoken answer of one or two sentences. 3. Write an answer only if the current facts support it. If a staff member answered it in a transcript but it is not in the facts, use that answer and mark it "from a call, confirm with client". If there is no answer anywhere, mark it "needs an answer". 4. Find every place where the receptionist gave an answer the facts do not support. Quote the line and give the transcript number. Constraints: Do not invent answers, prices, policies or numbers. Do not copy any personal details into the output. If a transcript is cut off or unclear, say so rather than filling the gap. Output format: 1) Questions ranked by count. 2) FAQ entries ready to paste, confirmed answers first. 3) A Needs an answer list I can send to the client as it is. 4) Unsupported answers found in the calls, with a suggested fix for each.

Pro tip

Strip names, numbers and any health or account details before pasting transcripts, and check the client's agreement allows you to process call data this way. Run it again every month, because new questions appear after promotions, price changes and seasonal rushes.

Test this prompt with a few practice calls before real callers hear it. Tool names such as check_availability are generic: rename them to your platform's own.
